Operations Manager
Job Title: Operations Manager
Reports To: Executive Director
Status: Part-Time (30 hours/week)
Compensation: $26–$30/hour, depending on experience
Location: Kansas City Metro Area (hybrid/flexible schedule considered)
Position Summary:
Urban Produce Push (UPP) is seeking a detail-oriented, mission-driven Operations Manager to assist the Executive Director with the overall management of the organization’s mission, programming, and day-to-day operations. This individual will play a key leadership role in ensuring that UPP’s administrative, financial, and programmatic efforts are efficient, compliant, and aligned with our organizational goals.
Key Responsibilities:
Compliance & Administration
- Ensure the organization adheres to all local, state, and federal regulations by preparing and maintaining necessary records, forms, and filings.
- Implement and uphold best business practices across all operational areas.
Program Support & Oversight
- Collaborate with the Executive Director in managing UPP’s mission-driven programs and supporting program staff in daily operations.
- Guide staff in implementing safe, efficient, and effective processes and procedures.
Development & Fundraising Support
- Assist with special events, donor engagement, and fundraising activities.
- Maintain an understanding of the organization’s funding priorities and help develop tailored funding requests.
- Manage the grant calendar, ensuring deadlines and reporting requirements are met.
Marketing & Communications
- Provide support to the communications team by contributing to outreach, storytelling, and impact reporting efforts.
Financial Management
- Oversee bookkeeping functions and support accounts payable/receivable processes.
- Coordinate with the bookkeeper and Executive Director to ensure timely and accurate financial reporting.
Human Resources Support
- Assist with staff hiring, onboarding, and personnel recordkeeping.
- Ensure compliance with payroll, IRS reporting, employee evaluations, and employment law standards.
Qualifications:
- Proven experience managing operations in a nonprofit setting (minimum 3 years preferred)
- Strong understanding of nonprofit finance, compliance, and HR practices
- Highly organized, self-motivated, and able to manage multiple priorities with limited supervision
- Excellent interpersonal and communication skills
- Comfortable working both independently and collaboratively in a small, fast-paced team
- Experience with QuickBooks, Microsoft Office, and cloud-based systems preferred
- Familiarity with grant tracking and donor management systems is a plus
Purpose:
To assist Exec Dir in overall management of the mission and programming of UPP. Also to manage and coordinate the day to day operations of the organization.
Duties Include but May Not Be Limited To:
- Produce and/or complete all necessary regulations, rules and forms in compliance with all laws, regulations and best business practices for the organization.
- Work with the Executive Director in overseeing and managing the Mission Programs of UPP and the staff involved.
- Assist Program staff with implementing and maintaining best practices as well as efficient and safe procedures and processes.
- Assist with the Development, special events and fundraising for all aspects of the organization. This involves familiarity with current needs, immediate needs and long term goals and strategies in order to help craft specific funding requests.
- Assist with the Marketing and Communications of the organization as needed.
- Familiarity with Mail Chimp or similar software.
- Oversee the bookkeeping, accounts receivable, accounts payable and financial reporting as needed.
- Assist the Executive Director in all aspects of Human Resources. This includes but may not be limited to Job Descriptions, hiring, onboarding, payroll, IRS compliance, payroll taxes compliance, reviews and termination regulation compliance for the organization.
